Requesting review
A donor should contact the foundation promptly with the payment reference, date, amount, and reason. Do not send card numbers, UPI PINs, passwords, or one-time codes.
Assessment
Refund eligibility, time limits, processing method, restricted-fund implications, provider fees, and dispute handling require formal organisational and legal approval.
Processing
Approved refunds should be returned through the original provider where possible and recorded against the verified donation without deleting the financial audit trail.
Information needed for a review
Use the contact route and provide the donor name, safe contact information, provider payment reference, date, amount and brief reason. Never provide a full card number, CVV, UPI PIN, online-banking password or one-time code.
Restricted and already-used funds
A request involving a restricted gift or funds already committed to an approved activity may require additional review. The final policy must explain the circumstances permitted by law, provider rules and the disclosed campaign terms without promising that every request can be approved.
Failed, pending and disputed payments
A failed or pending payment is not treated as a completed donation. Provider updates and reconciliation records determine the final state. Disputes, chargebacks and provider reversals are recorded without deleting the original transaction history.
